About the Role
We’re looking for a detail-oriented and proactive Executive VA to assist our client, a real estate investment firm, with day-to-day operations and administrative tasks.
Key Responsibilities
Invoice Management & Reporting

Review invoices from property management companies to verify completed work and payment status

Track and submit invoices for approval or flag items that need follow-up

Compile monthly capital expenditure (CapEx) invoice packages for lender submission
Administrative & Coordination Tasks

Prepare weekly meeting agendas and reports for calls with property management teams
-
Schedule and coordinate meetings or Zoom calls, including reschedules as needed

Maintain organized records and ensure timely follow-ups on assigned tasks
Investment & Acquisition Support

Communicate with brokers to gather information on prospective acquisitions and access property data rooms

Download and organize property files, input financial data, and update Excel trackers for review

Assist in preparing reports and analysis for potential investments
Investor Relations & Communication

Gather and compile monthly and quarterly performance reports for investor updates

Identify key highlights and metrics to include in monthly communications
Marketing & Lead Generation Support

Create and post approved content on social media based on the ongoing marketing campaign

Prepare and send a weekly email newsletter with article summaries and current investment promotions

Support outreach and scheduling for ProVisors lead generation to connect with potential investor referrals
Qualifications

2–4 years of experience in administrative support, operations, bookkeeping, and real estate coordination

Strong skills in Microsoft Excel and Google Workspace (Email, Calendar, Docs, Sheets, Drive)

Experience using accounting or invoice management tools (e.g., Bill.com, QuickBooks, or similar)

Excellent attention to detail and organizational skills

Clear and professional written and verbal communication

Comfortable handling financial data, reports, and investor-related materials

Experience using Mailchimp for email outreach and Slack for communication

Able to work independently, manage multiple priorities, and meet deadlines
- Professional, reliable, and proactive when communicating with team members and clients
- Knowledgeable in basic automation – functions in MS Excel, and using efficiency tools
Salary: $900-$1200 (depending on experience)
