Tax Firm Administrative Assistant

About the Role:
We are seeking a detail-oriented and reliable Administrative Assistant to support our U.S.-based tax firm. The ideal candidate will have experience using CCH software to scan tax documents and assist with populating tax returns. This role requires someone with a strong accounting background, excellent communication skills, and the ability to manage repetitive tasks with accuracy and integrity.
Key Responsibilities:
- Use CCH software to scan and organize tax documents
- Populate tax return templates and ensure all data is entered accurately
- Answer incoming calls professionally and confidently
- Reach out to leads
- Follow up with existing clients
- Coordinate meetings and manage calendars for the team
- Maintain accurate records and uphold the confidentiality of sensitive client information
- Perform general administrative tasks as needed to support the firm
Qualifications:
- Proven experience using CCH software in a tax or accounting setting
- Strong background in accounting or bookkeeping
- Exceptional reliability and unquestionable integrity
- Comfortable performing routine and repetitive tasks with consistency
- Excellent verbal and written communication skills
- Strong organizational skills and attention to detail
- Experience with client communication and scheduling tools is a plus
- Must be able to work PST business hours reliably
