Position Overview
We are seeking a highly organized and proactive Executive Assistant (EA) to support our executive team. This role is task-based, remote, and requires someone with a strong background in e-commerce (preferably Amazon). The EA will serve as the gatekeeper between departments and the executive, manage projects, oversee client follow-ups, and assist with business outreach initiatives.
Key Responsibilities
- Act as a liaison and gatekeeper between the executive and internal departments.
- Oversee project management tasks, ensuring deliverables and timelines are met.
- Conduct follow-ups with both existing clients and potential leads.
- Support outreach and networking efforts, including LinkedIn engagement.
- Provide administrative support such as scheduling, correspondence, and task tracking.
- Anticipate executive needs and proactively manage priorities.

Meeting Preparation & Follow-Up: Prepare agendas, compile briefing materials, and take detailed notes with action points during key meetings.

Document & Presentation Support: Draft, edit, and format reports, decks, and proposals for internal and client-facing use.

Research & Analysis: Conduct market or competitor research to support executive decision-making.

Process Improvement: Identify gaps in workflows and propose solutions to improve efficiency across teams.

Travel & Event Coordination: Manage executive travel logistics, event planning, and expense tracking.

Confidentiality Management: Handle sensitive information with discretion and maintain strict confidentiality.

Executive Communication Drafting: Draft professional emails, LinkedIn posts, or outreach messages on behalf of the executive.

Calendar Management: Coordinate and manage the executive’s calendar, including scheduling internal and external meetings across multiple time zones.

Travel & Logistics: Arrange travel itineraries, book flights, hotels, and transportation, and ensure smooth trip execution with contingency planning.
Qualifications
- Proven experience as an Executive Assistant, Project Manager, or similar role.
- Background in e-commerce, particularly with Amazon platforms, is strongly preferred.
- Strong organizational, multitasking, and communication skills.
- Proficiency with LinkedIn for outreach and client engagement.
- Ability to work independently, take initiative, and manage tasks efficiently.
- Comfortable working remotely across different time zones.
- At least a year of experience working as an EA or Project Manager for an e-commerce organization.

Tech Tools Proficiency: Comfortable with tools like Slack, Asana/Trello/ClickUp, Google Workspace, and Microsoft Office Suite.

Schedule: 9:00 AM – 6:00 PM US CST
Salary: $1,200 – $1,500 per month (depending on experience)
